Salary: $50,000.00 - $60,000.00 per year DOE

 

Job Description:

Synergy is currently looking for an  OPERATIONS Manager to manage our office, assist staff, and work with our customers and vendors to maintain relationships and communications. We are looking for someone who is creative, motivated, and able to multi-task on projects with multiple deadlines.

You will be interacting with staff, managers, directors, as well as building management, customers, and vendors, so you must be comfortable with communicating in a corporate environment.

Responsibilities:

  • Operations

    • Coordinate contract, lease and software renewals with customers and vendors

    • Coordinate and track equipment purchases for company/customers.  

      • Familiarity with Purchasing lifecycle a definite Plus (Quotes / Purchases Orders)

    • Review and send monthly service reports to customers

      • Familiarity with ticketing systems & Technical Support Desks a plus

    • Contact potential customers from lead generation system/assign leads as needed.

    • Prepare and send quotes to customers for annual software renewals & equipment requests.

    • Assist with customer projects as needed.

    • Provide HR assistance with new employee onboarding, orientation, equipment sign-outs

  • Day to Day Office Management

    • Organize, Manage and Maintain office space and environment, including liaising with building management

    • Manage Administrative Operations including office supplies, shipping/deliveries, A/R, wireless phone management, alarm system, etc.

    • Answering main phone lines, directing calls as needed.

    • Run office-related errands as needed.

    • Print/bind training manuals for customer training, including shipping to site as needed.

    • Managing Internal / Office Corporate Accounts (Credit Card / Mobile /Telephony)

    • Coordinate E-Recycling for clients

  • Executive Assistance

    • Provide/oversee administrative assistance and support for office principals.

    • Travel arrangements and itineraries for principals and staff as needed, including maintaining staff travel info.

  • Technical Documentation and Managing our Microsoft Partner Program

    • Maintain and update help guide for software created by company – familiarity with authoring software a plus. (Clickhelp)

    • UI testing of software as needed.

    • Maintaining internal Partnerships (Microsoft Partnership, etc.) & assuring staff/organization are keeping up with professional development & requirements  

Required Qualifications:

  • Bachelor’s degree preferred or Equivalent work experience.

  • 3 – 5 years of experience in managing in an office related setting.

  • Be detail-oriented and possess priority management skills.

  • Ability to deal with all levels of management both internally and with clients.

  • Working knowledge of Microsoft Office products, especially Outlook, Word, Excel, & Teams. Knowledge of Microsoft SharePoint is a plus.

  • Excellent editing skills (grammar, spelling)

  • Excellent customer-facing phone skills.
