Challenges/ Goals Barclays PLC has made a significant investment in the SharePoint technology stack. SharePoint is used to offer document management, business process automation and as a collaboration platform for staff located around the globe. Barclay’s goal in approaching Synergy was to design and deliver a training solution on SharePoint and Nintex Workflow technologies that would be consistent across three regional hubs. The solution needed to incorporate SharePoint best practices, internal policies and hands on lab exercises. It was also identified as critical that the courses addressed and resolved common support issues as identified by the support desk. The overall stated goal was to ensure a more consistent global adoption of the technologies offered by SharePoint and Nintex, while reducing end-user reliance on IT support. Solution/ Approach Synergy’s approach to delivering a solution for Barclays was at the outset to work closely with Barclays’ SharePoint team to identify and document common support issues form the user population. Once this discovery was completed, we created custom-crafted courseware from our premium courseware materials and created courseware to specifically emphasize the course materials that addressed the stated learning requirements. Our consultants worked closely with the Barclays team to edit and review the courseware. We then carried out a pilot training program with key staff at each regional hub to demonstrate the effectiveness of the course materials. Following the pilot program, we moved to regularly scheduled training in each regional hub. In addition to the courseware customization, we created a series of virtual machines (hosted within our training environment) using Barclays SharePoint Branding (Master Pages and Themes) to ensure each student training experience was identical to the look-and-feel of their live environment. To ensure that the training solution was consistent across the globe, we identified a training project manager who connected with our trainers around the globe on a regular basis to share lessons learned from each class. A SharePoint Wiki site was set up to document Barclay’s specific processes, user feedback, and classroom experiences. All communications with Barclays Learning and Development staff, the SharePoint team, and students are communicated to all consultants engaged with Barclays to ensure we are all offering involved, up-to-date support and training. By leveraging the social collaboration features of SharePoint, our consultants work closely with each other to ensure our team has a solid, up to the minute understanding of all aspects of Barclays training in spite of time zone differences and geographic diversity. Results Synergy provides ongoing monthly training across the regional hubs delivering training, providing post-classroom support. We make ongoing changes to our courseware to adopt and implement customer relevant knowledge. Trainee satisfaction with our trainers have resulted in an increase in course attendance through internal referrals, and in many cases, a rework of many of the sites and site collections in use to leverage the skills and knowledge gained during the classes. Adoption of business process automation through workflow has improved, with more Site Administrators understanding the powerful capabilities of workflow. Overview Trinity engaged Synergy at a critical point in time to conduct numerous projects to improve the school’s technical infrastructure. The relationship started with the build and configuration of the school’s intranet site called TNet. Following this, Synergy conducted an upgrade from SP 2010 to 2013 and also implemented a responsive design to improve the usability of the solution for staff and students. Recently, Synergy has worked alongside Trinity technical staff to configure and implement a range of cloud solutions. This has provided a range of benefits to students while reducing the overhead on infrastructure at Trinity. Challenges/ Goals Providing the best learning experience for students Build a storage location for classroom data Provide IPAD integration and support Design a user friendly interface for all levels of the school (PK-12) Integrate various cloud offerings into a Hybrid architecture Virtual Classroom Solution Synergy implemented a Virtual Classroom portal solution with many customisations to assist in the delivery of information to Trinity’s students for their use and collaboration. This Content Management System (CMS) was developed on SharePoint 2010 and a decision was made to utilise this portal as the prime choice of Learning Management System (LMS) for Trinity as well. The third party Denbigh Student Management System (SMS) was integrated into these solutions as well. Over 1000 Virtual Classrooms were required to be created, refreshed and maintained on a regular basis. Synergy implemented a series of PowerShell scripts which creates the classrooms automatically and updates the classrooms Active Directory group memberships via the information from the Denbigh (SMS) databases. Virtual Classroom Contained Classroom data storage (Libraries and Lists) Student homework, assignments, submissions via the ‘Drop Box’ Enable students to collaborate on work with social discussion boards Collect anonymous student course feedback via SharePoint surveys Synergy has also designed a customised application that will allow Parents, Staff, Students and Alumni to access relevant, up to date information about the school and its pupils. This solution will ensure that Trinity is at the forefront of providing a digital education to its customers. Key aspects of this implementation include A PowerShell driven process to automate the creation of 100’s of Virtual Classroom sites, create and manage Active Directory security and apply customisations. This automation process integrates with a proprietary student management system. A parent portal for parent to access student content and student reports combining business connectivity services and remote blob storage for the report files. Enhancement to branding solution for compatibility with mobile devices such as iPads. Nintex Forms and Workflows were created to convert paper forms to online forms for Staff leave, Student ICT Acceptable Use Policy agreements and Parent consent for student activities.
